SwiftOS is a sole trader business providing custom AI automation for UK trades businesses. This privacy policy explains how we collect, use, and protect personal data in accordance with UK GDPR and the Data Protection Act 2018.

From prospective clients (outreach):
- Business name and trading name
- Owner name (if publicly available)
- Business contact details (email, phone, social media handles)
- Publicly visible business information (Instagram posts, website content)
From paying clients:
- Full name and business name
- Email address and phone number
- Business location
- Business operational information provided during onboarding
- Payment information (processed via Revolut — we do not store card details)
From website visitors:
- IP address and browser information (via standard server logs)
- Behaviour on site (via analytics tools if enabled)
3. How We Use Your Data
We use the data we collect to:
- Deliver the services you have paid for
- Communicate with you during and after the project
- Issue invoices and confirm payments
- Provide WhatsApp support during the support window
- Send follow-up messages related to your project
We do not sell your data. We do not share your data with third parties except where required by law.
4. Legal Basis for Processing
- Contract: Processing necessary to deliver services to paying clients
- Legitimate interests: Following up on outreach and business enquiries
- Consent: Using client content in marketing materials
5. Data Retention
- Outreach prospects: held for 90 days after final contact attempt, then deleted
- Client data: held for 7 years for accounting and legal purposes (HMRC requirement)
- Client content used in marketing: held as long as permission remains in place
6. Your Rights
Under UK GDPR, you have the right to access, correct, or delete personal data we hold. To exercise any right, email hello@swiftos.solutions. We will respond within 30 days.
7. Data Security
Client business data is stored in Google Drive and used only to build the automation system for your business. It is not shared with any third party.
